Privacy Policy
1. Who we are
JMEasy Software is a South African software business offering the EZY Software product family. This Privacy Policy describes how we handle personal information on jmeasy.co.za and when providing our software and related support. Contact: info@jmeasy.co.za.
2. Information we collect
We may collect names, business names, email addresses, telephone numbers, enquiry details, subscription and billing records, account information, support correspondence and technical information necessary to operate and protect the website and software. Customers may also enter or upload personal information relating to their own customers, staff and business activities.
3. Why we use information
We process information to respond to enquiries, assess software requirements, provide quotations, manage customer accounts, invoice and reconcile payments, activate subscriptions, provide support, maintain security and comply with legal obligations. Where consent or another lawful basis is required, we will rely on the applicable basis.
4. Customer business data
Customers determine what information they enter into the EZY Software products and are responsible for using the service lawfully, including informing their own data subjects where necessary. JMEasy Software handles hosted customer data to provide the subscribed service and in accordance with applicable legal and contractual obligations. Depending on the activity, JMEasy may act as an operator on the customer’s instructions or as a responsible party for its own processing.
5. Sharing and service providers
We do not sell customer personal information. Information may be shared with hosting, technical support, communications or payment service providers where reasonably necessary to deliver the service, under appropriate safeguards, or with authorities where required by law. Service provider arrangements may change as the platform develops.
6. Security
We use reasonable technical and organisational safeguards appropriate to the information and services involved. No online service can guarantee absolute security. Customers should safeguard their credentials and report suspected unauthorised access promptly.
7. Retention and deletion
We keep information only for as long as necessary for its purpose or a lawful retention requirement. JMEasy Software’s own invoices, accounting and compliance records may need to be retained longer than the hosted data of a cancelled subscriber. After subscription expiry, hosted customer business data is ordinarily available for export or follow-up for up to 30 days and may then be removed, subject to statutory duties and backup expiry. We securely dispose of personal information when retention is no longer justified.
8. Access, correction and other rights
Subject to applicable law, individuals may request access to personal information held about them, ask for inaccurate information to be corrected, and raise objections or deletion requests where permitted. Requests can be sent to info@jmeasy.co.za. We may need to verify identity before acting. Where a request concerns information controlled by a customer using our software, we may direct the requester to that customer.
9. Cookies and website information
The website may use cookies or similar technology needed for basic site functionality, security and preferences. If optional analytics or marketing technologies are introduced, the relevant notices and controls will be updated as necessary.
10. International services and changes
If personal information is processed or stored outside South Africa, we will take steps required by applicable law to protect it. We may update this policy to reflect changes in services or legal requirements. The updated version will be published on this website.
11. Questions and complaints
For privacy questions or requests contact info@jmeasy.co.za. Individuals may also approach the South African Information Regulator about concerns relating to the handling of personal information.
